What exactly is My Citizen Folder?

If you have ever had to renew your DNI, check your work life or look for a criminal record certificate, you know perfectly well what it is like to waste an entire morning between windows and government websites that seem designed in another era. My Citizen Folder is the most serious attempt what the Spanish Administration has done to centralize all this in a single digital space.

In concrete terms, it is a personal portal, also available as a mobile app, that brings together the data that the State has about you and allows you to consult it, download it and manage procedures without leaving home. Qualifications, vehicles, clinical history, tax situation, license points… Everything in the same place, without having to remember which website corresponds to which ministry. I can tell you that it is not a vague promise, but something that already works and has been silently improving for years.

In the following sections I invite you to learn more about this app, learn how you can access it and what procedures and procedures you will have at your disposal. If you haven’t downloaded it yet, my advice is to go to the App Store, if you have an iPhone, or to the Google Play Store, if you have an Android mobile. There you will find it published completely free of charge.

How to access the app from your mobile

The only requirement to enter is to identify yourself by Cl@vethe official identification system with public administrations, or any other available method. Once you have selected the option Staff On the welcome screen, you will be redirected to the identification area.

You just have to select the authentication option you prefer:

  • electronic IDusing a card reader or the NFC function of your mobile.
  • Electronic certificate recognized, such as the one issued by the FNMT.
  • Cl@ve PINa single-use code that you receive by SMS or through the official Cl@ve app.
  • Permanent Keya fixed password that you can activate if you are already registered in the system.

If you do not yet have any of these credentials, the first step is to register with Cl@ve. The process can be completed online in many cases, although some methods require going in person to an office or having a prior certificate. If you have questions during registration, you can call telephone 060 or consult the Cl@ve information portal. My recommendation is that you address this first, because it is a universal system that replaces the electronic certificate. Once you have registered, you will be able to use it on any public website in the State, including city councils, provincial councils and regional governments.

Once initial access is complete, the app works with biometric authenticationso from the first login you will not have to enter credentials every time you open it. It is enough to have the fingerprint configured on Android or Face ID on the iPhone.

The most important functions of My Citizen Folder

The app is not just a showcase of information. It has real usefulness in specific situations and some of its functions are more practical than they seem at first glance. These are the ones that are most worth knowing.

Check your work life and benefits

From the section of Work and help You can access your updated work life without going through the Social Security website. You can also check active benefits and, if you are a public employee, access the Central Personnel Registry with information about your administrative career. A direct access that avoids having to enter several different portals to find the same thing.

View your digital medical history

The app connects with the Digital Clinical History of the National Health System. You can consult medical reports, download certificates and see the dependency or disability data that the Administration has recognized. It is especially useful if you travel or if you need to prove something related to your health without having to wait for an appointment at the primary care center.

Review your degrees and scholarships

You can also check if you are a scholarship recipient in calls from the Ministry of Education or the Ministry of Science, Innovation and Universities, something that is very practical when it comes to accrediting aid received.

Manage your personal and family situation

This is where the app gets especially interesting. You can consult and download your literal birth certificate, marriage certificate, de facto couple certificate, large family certificatecertificates of absence of criminal records and crimes of a sexual nature, status as a high-level athlete, legal residence if you are a foreigner, and even your status in the record of prohibitions on access to the game. Recently they have also added the Spanish nationality and Spanish language testsas well as the terrorism victim certificate.

Consult vehicles, license and traffic points

If you’ve ever needed to know how many points you have left or check the details of a vehicle registered in your name, the Vehicles and transport Solve it in seconds. Show the complete data of the driving license, the updated status of the points and the file of your vehicles, directly from the DGT records, without having to enter its website separately.

The expiration calendar

This is probably the most underrated feature in the entire app. My Citizen Folder includes a calendar that notifies you in advance of key dates: the renewal of your DNI, the expiration of your European health card or the expiration of electronic certificates. They’re exactly the kind of things that everyone forgets about until they desperately need them. Having these automatic notifications on your mobile phone has more value than it seems, and it is enough reason in itself not to uninstall the app between management.

Other features available

In addition to all of the above, My Citizen Folder includes a good number of additional queries that are worth knowing:

  • Identity and documentation. Status of the DNI, passport and electronic DNI certificates, with the expiration date of each one.
  • Elections. Consultation of the electoral roll and assigned voting municipality, with direct link to request the vote by mail.
  • Housing and properties. Cadastre data, real estate and rural property certifications, municipal and historical register of municipalities in which you have been registered.
  • Transparency. Consultation of the data that the different administrations have exchanged with each other about you, with the possibility of downloading the corresponding supporting documents.
  • Regional, local and university records. As you can see in the screenshot above, you can select your autonomous community, town hall or university as your favorite organization to consult files from that administration without leaving the app.

Should you install this official app?

It depends on how much you deal with the Administration, but overall, yes, this app is worth it. If you are one of those who make arrangements punctually, like most, it is not an app that you are going to open every week. However, the fact of having everything centralized when you need it, without having to remember which website corresponds to which procedure, justifies having it installed. The expiration schedule, in particular, is reason enough on its own so as not to uninstall it when you don’t use it. Notifying you that your DNI is expiring soon is exactly the type of reminder that no other app is going to give you.

What is pleasantly surprising is the quality of the app itself. For what we are used to with official applications in Spain, My Citizen Folder is surprisingly well built. For example, it works with biometrics, notifications arrive on time, it has support for all the co-official languages of the State (Spanish, Catalan, Galician, Basque and Valencian) and the interface is quite decent. It is not perfect, but it is well above the average of what digital public administration usually offers in this country. If you use it once and it works well, it will probably stay on your device.
